Editing metadata for multiple files

Editing metadata for multiple files

To make life easier and save you time, there are two ways of editing the metadata of multiple files depending whether you want to add the same data or different data to the selected files.

Editing all files with the same metadata

This option is really useful time-saver if you have a large number of files that need the same metadata applied to them (eg: copyright information, credit line, rights usage, location).

To edit a selection of files with THE SAME metadata, navigate to the files you want to edit and select them, either by ticking the box in the bottom left corner of each file or by selecting all the files in this folder by ticking the Select All Files button on the top right.

Once you have your files selected, click the Actions dropdown menu on the right hand side and choose the Edit Metadata Same Details option to bring up the Edit Details window.

You’ll notice the selected files preview icons on the left and the editable General metadata window on the right. Any changes you make to the General Metadata – adding captions, descriptions, keywords or copyright information – will be applied to every selected file.

Click on the orange Apply to Selected Files button in the bottom right hand corner of the Edit Details lightbox popup window to save the additions/changes you’ve made to all of the selected files.

To exit WITHOUT saving the changes, click on the small black X in the top right hand corner of the Edit Details popup window.

Editing all files with different metadata

This option provides a really useful workflow when you have a number of files that need different metadata applied to them (e.g.: captions, people shown, keywords, notes).

To edit a selection of files with DIFFERENT metadata, navigate to the files you want to edit and select them, either by ticking the box in the bottom left corner of each file or by selecting all the files in this folder by ticking the Select All Files button on the top right.

Once you have your files selected, click the Actions dropdown menu on the right hand side and choose the Edit Metadata Different Details option to bring up the Edit Details window.

You’ll notice the first of your selected files preview icons on the left and the editable metadata window on the right. Any changes you make to the General Metadata – adding captions, descriptions, keywords or copyright information – will only be applied to the individual file you are viewing/editing.

Click on the orange Save and Next File button in the bottom right hand corner of the Edit Details lightbox popup window to save the additions/changes you’ve made to this files and move to the next file.

To exit WITHOUT saving the changes, click on the small black ‘X’ in the top right hand corner of the Edit Details popup window.
